The Planning Process: Full-Service Itineraries

Once we've kicked off planning together, here's what you can expect. Every trip is different, but the process below gives you a sense of how things typically unfold. There's plenty of room for collaboration, flexibility, and clear communication at each step.

1. First Draft

We’ll start with a first draft for your review, typically within one week. Depending on the scope of your trip, this may include just accommodations or a more complete itinerary with hotels, excursions, transfers, and other services. This draft is meant to be a starting point, not the final version.

2. Revisions & Collaboration

From there, we’ll work together to refine the details until the itinerary feels just right. This is a collaborative process, and your input is key. Whether we’re adjusting pacing, rethinking hotel choices, or shifting focus, we will guide you through each step with thoughtful suggestions and clear next steps.

3. Confirming Services

Once you’re happy with the plan, we’ll collect a form of payment and, with your approval, begin confirming services on your behalf.

Please note that rates and availability are not guaranteed until payment details are provided and services are confirmed. We’ll always ensure you’re aware of all relevant supplier terms, payment schedules, and cancellation policies before anything is finalized.

4. Package vs. Itemized Pricing

In some cases, pricing will be presented as a complete package rather than broken down by individual service such as hotel rates or transfers. This is common when working with trusted local partners who manage multiple elements seamlessly on the ground.

While a detailed breakdown may not always be available, I’ll be transparent about what’s included and can adjust the scope to align with your budget.

5. Pre-Travel Preparation

After everything is confirmed, we’ll typically check in about two months before departure to ensure nothing has changed on your end. From there, we’ll begin preparing your final documents and trip logistics, behind the scenes.

Depending on the complexity of your trip, you may hear from us frequently or only occasionally during this time. Either way, you’ll receive your complete pre-travel documents and itinerary about one week before departure. These materials will serve as your go-to reference throughout your trip.
